How do you become EDI compliant?

Industries such as healthcare, retail, logistics and many more are efficiently carrying out their business operations with the help of EDI – Electronic Data Interchange. Your business will undoubtedly grow and as it expands, you will be onboarding more and more partners. There is a strong possibility that each one of them will have requirements for you in order to be able to do business with them. Before being able to meet these requirements, you will need to first implement EDI and be EDI capable.

In order for any two businesses to successfully exchange EDI data, they both need to use the same protocols in order to ensure the data is accurate and secure. You will have become EDI compliant when you have managed to successfully exchange EDI data with a specific trading partner.

What Does it Mean to Become EDI Compliant?

Compliance means meeting certain requirements imposed by  national or international regulating body. Similarly with EDI, being compliant means being able to meet the requirements regarding electronic communication, imposed by your trading partners. These requirements are usually dictated by the industry that certain company activates in.

The same may apply the other way around as well: at some point in the development of your business, you may be the one who asks trading partners to comply to your specific requirements.

What is more, it really isn’t difficult to become EDI compliant. Going forward will happen seamlessly, without you needing to make too many adjustments.

How do you achieve EDI compliance?

Companies will often send you an entire list of requirements they need you to meet and some of them are not even at all related to EDI. Typically, they prompt you to a website by offering a link, where you can see everything that is needed to be done in order to continue doing business with them.

This will happen especially with large, reputable companies that usually have thought of everything and have such lists in place. You can become EDI compliant in two ways: you can either choose an in-house EDI system or to outsource everything to an EDI provider. However, by going with an EDI-system you will need to do all the heavy lifting yourself which will include: getting the necessary software and hardware, installing it and configuring it and, of course, keeping up with the updates and maintenance tasks as you go along.

Once the setup is complete, you will need to perform a test to see if the data gets across to your partner. The next steps will be translating and mapping the EDI data which guarantees that all the right protocols are in place. Should your trading partner change their requirements, they will notify you accordingly, which will mean that you need to go through the translation and mapping process once more.
